This policy covers prepgenix.com and the student portal at prepgenix.com/portal/. It explains what we collect, why we need it, which other companies handle it and how to get it deleted. Many people who use the portal are teenagers, so we have written it in plain language.
We collect what we need to teach, run the practice platform and reply to you. We don't sell personal data or use it for advertising. Analytics only run if you accept cookies. You can ask us to delete your data at any time.

What we collect and why
| What we collect | When | Why we need it |
|---|---|---|
| Your email address | You ask for the SAT Score Vault | To add you to our email list for SAT prep emails. The PDF downloads straight away either way. |
| Program, student's name, grade, SAT date, latest score and any note | You fill in the enquiry form | Our website doesn't store these. They go into a WhatsApp message on your phone, and we only see them if you send it. We use them to reply with the fee and whether the student qualifies. |
| Name, email address and mobile number | Free trial sign-up | To create the account, check the email is yours with a code, and let a coach contact you about the trial. |
| Whether the student is 18 or older and, for ages 13 to 17, a confirmation that a parent or guardian agrees | Free trial sign-up | Young people need a parent's agreement. See Children and teenagers. |
| A random code saved in your browser, and scrambled copies of your IP address, email and phone number | Free trial sign-up | To allow one free trial per person and per browser, and a few per network. We scramble these with a secret key and never store your IP address itself. |
| Password | You set or change one | Our sign-in provider stores it in scrambled form. Nobody at PrepGenix can read it. |
| Answers, mock test results, study plan (test date and target score), streaks, badges, bookmarks and notes, review list, vocabulary cards and settings | While you use the portal | To run practice, grade tests, build the daily plan and show progress to you, your coach and any parent linked to your account. They are saved in your browser and copied to our database so they follow you to other devices. |
| Problems you report with a question | You report a question | To fix the question. |
| Name and username | A coach creates a student account after enrolment | So the student can sign in and the coach can see whose work is whose. |
| A parent's name and email address, and the student they are linked to | A parent joins with an invite code from the coach | For the parent progress page and the weekly progress email. |
| Payment details | You pay a program fee | Stripe takes the payment. We see the payer's name, email address, the amount and the date, but not the full card number. |
| Messages you send us | You email us or message us on WhatsApp | To reply, and to keep a record of what we agreed about a program. |
| Pages visited, clicks, scrolling, device, browser and rough location | Only after you press Accept on the cookie banner | To see which pages help and where people get stuck. Microsoft Clarity can replay a visit as a recording of clicks and scrolling. |
| IP address, browser and the pages requested | Every visit | Our web host keeps these server logs for security and to keep the site running. |
What we don't do
- We don't sell personal data.
- We don't use it for advertising, and nothing on our site passes it to an advertising network.
- We don't show one student's results to other students or to other families.
Companies that handle data for us
These services run parts of the site and portal. Each one gets the data it needs for its job. Most of them store data on servers in the United States or other countries, so your data may be stored outside the country where you live.
| Service | What it does for us | What it handles |
|---|---|---|
| Supabase | Portal database and sign-in | Account details, practice data and free trial records |
| Hostinger | Hosts the website and portal, and runs the Vault sign-up form | Server logs, and your Vault email on its way to MailerLite |
| MailerLite | Our email list | The email address you gave for the Vault |
| Resend | Sends portal emails, including the weekly parent email | Recipient's name and email address, and the email's content |
| Stripe | Takes payments | Payer's name, email address and card details |
| WhatsApp (Meta) | Enquiries and chat | Whatever you send us there |
| Google Analytics | Visit statistics, only after you accept cookies | Pages, clicks, device and rough location |
| Microsoft Clarity | Visit recordings and heatmaps, only after you accept cookies | Clicks, scrolling, device and rough location |
| Google Fonts | Serves the typefaces the site uses | Your IP address and browser, when a page loads |

We also share data when the law requires it, for example with a court.
Cookies
The site only sets analytics cookies if you press Accept. You can change your choice at any time with the Cookie settings link at the bottom of every page. The cookie policy lists every cookie and what it does.
Children and teenagers
The SAT is taken by high school students, so many people who use the portal are under 18.
- Under 13. Students under 13 can't start a free trial themselves. A parent can send an enquiry, and if the student enrols, the coach creates the account with the parent's agreement.
- 13 to 17. The free trial sign-up asks the student to confirm that a parent or guardian agrees. When a coach creates an account for a student under 18, a parent has already agreed to the enrolment.
- We use a student's data to teach and to report progress to the student, their coach and linked parents. We don't use it to profile them for anything else or to show them ads.
- A parent or guardian can ask to see, correct or delete their child's data at any time, using the contact details above.
How long we keep data
- Portal accounts. While the account is open. When an account is removed, its practice history, results, study plan and progress are deleted with it.
- Free trial records. Name, email address, phone number and the scrambled browser code stay after a trial account is removed, so the same person can't start a second free trial. We delete them if you ask us to delete your data.
- Sign-up attempt records. The scrambled records used to slow down repeated sign-ups are only needed for two days, and the portal clears out older ones as new sign-ups come in.
- Parent accounts. Until the parent account is removed. The record of which weeks an email was sent goes with it.
- Vault email address. Until you ask us to delete it. If you only unsubscribe, MailerLite keeps the address marked as unsubscribed so you aren't emailed again.
- Payment records. For as long as Indian tax law requires.
- Messages. Email and WhatsApp conversations stay in those apps until we delete them. We delete them if you ask.
- Analytics. Google and Microsoft keep visit data for the retention period set in their tools.
Your rights
You can ask us to:
- tell you what personal data we hold about you and send you a copy
- correct anything that is wrong
- delete your data (see the next section)
- stop using your data for something you agreed to earlier
You can do some of this yourself. Every Vault email has an unsubscribe link. Every weekly parent email has a "Stop these emails" link. The Cookie settings link at the bottom of each page changes your analytics choice.
For anything else, email tutoring@prepgenix.com or message us on WhatsApp. If we can't tell that a request comes from the account holder or their parent, we may ask a question to check. We reply within 7 days and complete the request within 30 days.
If you're unhappy with our answer, you can complain to the data protection authority where you live. In India, that is the Data Protection Board of India.
Deleting your data
Email tutoring@prepgenix.com from the address on the account, or message us on WhatsApp. Students can also open Preferences on the portal home screen and press Delete my account, which starts the same request. Parents can ask for their child's data to be deleted.
We then delete:
- the portal account and everything saved to it, including practice history, mock results, study plan, progress, bookmarks and notes
- the free trial record, including name, email address and phone number
- any parent link to the account, and the parent's own account if the parent asks too
- your Vault email address from MailerLite
- our email and WhatsApp conversations with you, if you ask
We keep payment records for as long as tax law requires, and a short note that the request was carried out and when. Anything saved in your own browser stays there until you clear this site's data in your browser settings. We finish within 30 days and tell you when it's done.
Keeping data safe
The site and portal only load over HTTPS. A student can only read their own portal data. A linked parent sees a summary of their own child's progress, and the coach sees the students on the roster. If a data breach affects your information, we will tell you.
